HR reminds staff employees of the performance review process and new updates

HR launched the staff employee 24-25 performance review process using Paycom.  This year, HR updated the individual contributor and manager/supervisor performance review forms and is using a Paycom checklist to deliver and complete the performance review tasks.  The form resembles past years; however, additional text boxes have been added for employees and supervisors to provide brief examples and comments on when performance falls below or exceeds a ranking of 3, which meets expectations (this step is required).  The 24-25 Performance Review should be completed and will serve as a substitute for the 90-day review for employees still within their 90-day probationary period through July 31.  HR has new updates to share below to help with completing the performance reviews.

New Updates

1) Read the HR announcement on the employee self-service landing page.  You'll want to fill in your answers in a separate Word document and copy and paste the answers into the form on the Annual Review checklist.  Paycom times out when open too long, and there is no auto-saving or an option to save as you go.

2) The form does not include a column for Performance Goals 2025/2026. Therefore, for 15 points, include the Goal/Accomplishment and Performance Goals 2025/2026 together.  If you have already submitted your performance review without adding the missing points, please don't worry, HR will correct them after reviewing the performance reviews.

3)  Extensions for staff to complete the review are available on a case-by-case basis.  Please email hraccount@pacificu.edu for approval to extend the self-evaluation portion.

Reminders of the Process

The new performance review process will include:

  • Performance Review Guidelines: A section to describe the changes to the performance review process and how the rating system works.
  • 24/25 Performance Goal/Accomplishment Review: A formal opportunity for employees and supervisors to discuss progress on last year's two goals or accomplishments, if goals were not previously established.
  • Competencies Review: A review of specific competencies with a text box to comment and provide examples on when performance falls below or exceeds a ranking of 3.
  • 25/26 Performance Goal Setting: Employees and supervisors will collaboratively establish two clear, measurable, achievable, relevant, and time-bound (SMART) goals that align with departmental and university objectives.
  • Goal and Competency Total: Sections for the employee and supervisor ratings.
  • Signature and Date: The employee and supervisor should sign and date the review once it has been completed for their respective sections.

Timeline for the First Cycle:

The staff employee performance review cycle will begin today and conclude on July 31, 2025. Supervisors will review, meet, and conclude the performance review cycle by September 30, 2025.  

Training and Resources:

To ensure a smooth transition, the Paycom checklist contains a 24-25 Performance Review Process Training video, Instructions for choosing the Appropriate Form, the applicable Performance Review Form, and a guide for all employees and supervisors.
